Information you provide
We collect personal information that you choose to give us, including:
- Contact form: your name, email address, the subject you select and your message.
- Newsletter: your email address.
- Email correspondence: any information you include when you email us directly.
Please do not send sensitive personal information (such as health or financial details or government identification numbers) through our forms or by email.
Contact forms
When you submit our contact form, we use your information only to read, respond to and keep a record of your enquiry. The form requires you to confirm that your information may be used to respond to your enquiry. Form submissions are transmitted to our email inbox through our web hosting provider. We use spam-prevention measures, such as a hidden field and a timing check, which process the form data you submit but do not create profiles of you.
Analytics
At the time of this update, we do not run analytics tools on this website. If we add analytics in the future, they will only load after you consent through our cookie preferences, and we will favour privacy-conscious configurations such as aggregated reporting and IP address truncation where available. This policy will be updated to name the provider.
IP address and device information
Like most websites, our web server automatically receives certain technical information when you visit, such as your IP address, browser type, device type, operating system, referring page, the pages requested and the date and time of the request. Our hosting provider uses this information in server logs to deliver the website, maintain security, prevent abuse and diagnose technical problems. We do not use server logs to identify individual visitors except where needed to investigate security incidents or abuse.
Advertising measurement
At the time of this update, we do not run advertising or advertising measurement technologies on this website. If we introduce advertising or measurement tools (for example, to measure the performance of our own advertising campaigns), they will only load after you consent through our cookie preferences where consent is required, and we will update this policy and our Cookie Policy to describe them.
How we use information
We use personal information to:
- Respond to enquiries, feedback and correction requests.
- Send our newsletter to subscribers who have asked to receive it.
- Operate, secure and improve the website.
- Comply with legal obligations.
We do not sell personal information. We do not use your information for purposes other than those described here without your consent, unless required or permitted by law.
Third-party processors
We use service providers to help us operate the website and communicate with you, such as our web hosting provider and email services. These providers process personal information on our behalf and only as needed to provide their services. We take reasonable steps, including contractual measures where appropriate, to ensure they protect personal information. If we add new categories of service providers, such as an email newsletter platform or analytics provider, we will update this policy.
Retention
We keep personal information only as long as needed for the purposes described in this policy or as required by law. As a general guide:
- Contact enquiries: kept for up to 24 months after our last correspondence, unless a longer period is needed for a specific reason.
- Newsletter subscriptions: kept until you unsubscribe, after which we may keep a record of the unsubscribe request so that we do not email you again.
- Server logs: kept for a limited period set by our hosting provider for security and operational purposes.
Security
We use reasonable administrative, technical and physical safeguards to protect personal information against loss, theft and unauthorized access, use or disclosure. The website is designed to be served over an encrypted HTTPS connection. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
International processing
Some of our service providers may store or process information outside your province or outside Canada, including in the United States. When information is processed in another jurisdiction, it may be subject to the laws of that jurisdiction, including lawful access by courts, law enforcement and national security authorities there.
Your privacy rights
Subject to applicable law, you may:
- Ask whether we hold personal information about you and request access to it.
- Ask us to correct inaccurate or incomplete information.
- Withdraw your consent to certain uses, such as receiving our newsletter, subject to legal or contractual restrictions.
- Ask questions or make a complaint about how we handle your personal information.
To make a request, email support@coasttocoastledger.org. We may need to verify your identity before responding. We will respond within the time required by applicable law.
Canadian privacy considerations
We are based in British Columbia and aim to handle personal information in line with applicable Canadian privacy laws. Depending on the circumstances, this may include the federal Personal Information Protection and Electronic Documents Act (PIPEDA), where applicable, and British Columbia’s Personal Information Protection Act (PIPA). Our practices are informed by the fair information principles of accountability, identifying purposes, consent, limiting collection, limiting use, disclosure and retention, accuracy, safeguards, openness, individual access and challenging compliance.
If you are not satisfied with our response to a privacy concern, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia, as applicable.
Children
This website is intended for a general audience and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
Changes to this policy
We may update this Privacy Policy from time to time. The “Last Updated” date at the top shows when it was last revised. Significant changes will be highlighted on this page.
